Job Description

We are seeking an experienced Operations Assistant to provide administration and organisational support to the Directors within our client's small but busy office based near Pershore.


The successful applicant will have proven office experience and be happy to take responsibility for many areas of the business. 


The Person:



  • A high level of attention to detail with discretion and excellent problem-solving skills.


  • Ability to multi-task, prioritise and plan to meet tight deadlines and achieve target.


  • The candidate must be computer literate and be able to use Microsoft office programmes such as Word & Excel. 

  • Sage 50 Accounts and Sage Payroll a distinct advantage.


  • Be self-motivated, confident, flexible and willing to assist in all aspects of the business if required.


  • A strong communicator with a friendly and polite manner being able to converse with all levels.


  • A positive approach to support and teamwork.


  • Ensure that requests are dealt with in a professional manner.


  • Have own transport.


  • To be able to work on own initiative in a small office environment and be pro-active in improvements which could benefit the operation and organisation of the company.


The Role:



  • Deal with emails in support of and as directed by the Executive Director.


  • Oversee the smooth running of the office in support of the Executive Director.


  • Welcome visitors if required, including any arrangements (lunch, hotel etc).


  • Assist staff members in booking of hotels, flights etc where required.


  • Research and suggest new processes, legislation, best practices, suppliers and partners in support of business requirements – including for utilities.


  • Management of utility contracts, phones, etc.


  • Management of company vehicles, insurance, mot, tax etc.


  • Support the Executive Director in HR matters when required. Including creating new starter documentation, dealing with annual leave requests etc.


  • Organise files both physically and electronically – working towards reducing the paper in the office.


  • Be able to be trusted in all aspects of the role with confidential information, always maintaining loyalty to the Executive Director.


  • Purchasing activities for both customer orders and general office / business purchases.


  • Monitoring and being responsible for office security including CCTV.


  • Be responsible for IT equipment – liaising with the company external IT support.


  • Maintain compliance documentation in support of health & safety, quality, environment & legal, ie Achilles, Safe Contractor, ISO etc.


  • Maintain and manage small stock holding, ensuring that stock takes are regularly completed.



The role is office based - no remote working - Monday to Friday - 08.30 am to 17.00 pm
